Searching and Retrieving Documents Using the Public Access Viewer

The Clerk of the Board of Supervisors has launched a new online search database for official Board of Supervisors records. Documents that are searchable include Board Annual Minutes, Board Meeting Packets, Agreement and Resolution Indexes, and Ag Preserves.

Documents are classified into different types based on the functionality involved in the Board Meeting process.

This online search feature covers the following searchable documents:  

  • PA – Ag Preserves:  This will search Ag Preserves or Williamson Act Contracts from 1965 to the present, when the California Land Conservation Act of 1965, commonly known as the Williamson Act, was first established.
  • PA – BOS Annual Minutes: This will search Annual Minutes from 1980 to the present.
  • PA – BOS Indexed Agreements: This will search for Agreement Numbers from 1963 to the present, except from 1992-1998.
  • PA – BOS Indexed Resolutions: This will search for Resolution Numbers from 1963 to the present, except from 1992-1998.
  • PA - BOS Meeting Packets from 1988 to the present (search here for signed documents, such as agreements, resolutions and ordinances).

To Perform a Search for Documents:

  1. Go to the Board of Supervisors Document Search page.
  2. You can search by a variety of criteria.  The more criteria you specify, the fewer results will be returned. The table below provides a description of the most commonly used fields.  Detailed instruction guides are available for each Search typein the table below by clicking on the hyperlinks.
  3. Type keyword(s) into the “Search Term” field (not case sensitive) then click “Search.” Note: The “*” wildcard character can be used to replace several characters in a keyword.
  4. A list of documents will display in the “Results” view on the right. Results can be sorted by score, name and summary.

  5. Click once on the document you wish to view. The document will display in a new zoom screen or may open as a downloadable file. Click on the file to open the document, which will appear as new tab in your browser.

  6. To perform a search for specific text within the current document of page, press Ctrl + F.A search box will appear. Enter your keywords or phrase, and then press Enter. Continue pressing Enter to highlight all instances of your search term.
  7. Close the document by clicking on the “X” at the upper right corner of the zoom screen to return to search results or start a new search. Alternately, if the document opened in a tab in your browser, simple close the page to return to the search results.
  8. Click “Reset” to begin a new search.
  9. Print the pages you want: Select the Print icon, choose your printer, and then under Pages, select Custom and provide the page range. Click Print.
  10. Save the pages you want: Select the Print icon, choose Adobe PDF or Save as PDF, and then under Pages, select Custom and provide the page range. Click Print.

Search Tips for each Search Type:

PA - Ag Preserves (click here for detailed search instructions)  

Ag Preserves are voluntary agreements between landowners and local governments (cities or counties) that restrict land to agricultural or related open space uses in exchange for reduced property tax assessments. These contracts, also known as Land Conservation Contracts, are a key component of the California Land Conservation Act of 1965

Tip: If searching by Agreement Number, try searching with and without a hyphen between year and agreement number. For example, try 72-312 or 72312.

Tip: If searching by APN, type in the first 6 digits, then drop the 0 in the last section. For example, APN 041-020-032 may be found as 041-020-32. You can also type in the first 6 digits and add an “*” wildcard character for additional results.   

 

PA – BOS Annual Minutes (click here for detailed search instructions)

 

Annual Minutes will give you all the minutes from one single year. Use this search page to find which meeting an item was approved at, and then, for more specific documents related to action, go to PA - BOS Meeting Packets and type in the specific meeting date.

Tip: Search by specific term or year.

 

PA – BOS Indexed Agreements (click here for detailed search instructions)

 

Indexed Agreements is a list of agreements by year that were approved by the Board from 1963 to the present, except 1992-1998 (search the BOS Annual Minutes for any agreements from this time period). There are no signed copies of agreements in this index, just a reference to when they were adopted. Signed agreements can be found using the PA – BOS Meeting Packets.

Tip: Search for agreements by typing a specific keyword or by entering the last two digits of the year followed by a hyphen and agreement number, i.e. 07-150.

PA – BOS Indexed Resolutions (click here for detailed search instructions)

 

Indexed Resolutions is a list of resolutions approved by the Board by year from 1963 to the present, except 1992-1998 (search the BOS Annual Minutes for any resolutions from this time period). There are no signed copies of resolutions in this index, just a reference to when they were adopted. Signed resolutions from 1988 forward can be found using the PA – BOS Meeting Packets.

Tip: Search for resolutions by typing a specific keyword or by entering the last two digits of the year followed by a hyphen and resolution number, i.e. 07-150.

PA – BOS Meeting Packets (click here for detailed search instructions)

 

BOS Meeting Packets are the comprehensive set of documents and materials provided to the public and members of the County Board of Supervisors in preparation for a public meeting.  These packets typically include the meeting agenda, supporting materials for agenda items, draft minutes from previous meetings, financial reports, and other relevant documents, such as signed agreements, resolutions and ordinances.

Tip: Search by entering a keyword in the “Search Term” field. If using either of the other two fields, “From Date” to “To Date” or” Meeting Date,” the “Search Term” field must contain at least 3 characters.
